THE IMPACT
From Last-Minute Assignment → Proactive Planning
04
REDUCE MANUAL WORK
Automate repetitive calculations, follow-ups and assignment tasks to make planning more efficient.
03
CLARIFY ROLES & HANDOFFS
Give CS, Planners and Controllers clear responsibilities and smoother handoffs throughout the workflow.
02
PLAN AHEAD
Plan movements up to 3 days ahead while keeping next-day execution aligned with the latest operational information.
01
COLLECT INFO PROGRESSIVELY
Unknown operational details become follow-up items instead of forcing users to enter placeholder information.
THE PROBLEM
BEFORE: How Work Happened
UNCLEAR DECISION POINTS
Key infos and requirements were remain unresolved, pushing decisions downstream and causing inconsistent execution or detention.
Fragmented Assignment
Driver, Trailer and Movement assignments were handled across separate pages, making the process repetitive and time-consuming.
DISCONNECTED EXECUTION
To dispatch a movement, Controllers relied on WhatsApp to communicate with Drivers and track progress.
NO FORWARD VISIBILITY
Resources were assigned around immediate jobs, making future planning difficult.

BEFORE
CS → Controller → Driver
The Controller handled planning, assignment and execution, often reacting to vehicles becoming available.
AFTER
CS → Planner → Controller → Driver
The Controller handled planning, assignment and execution, often reacting to vehicles becoming available.
THE GOAL
Capture information as it becomes available
Separate planning from execution
Give each role a clearer responsibility
Connect planning directly to execution

THE SOLUTION
Making the Workflow Around Real Operations
HELP PLANNERS MAKE BETTER DECISIONS
A new Planning Workspace was introduced to allow Planners to prepare movements in advance instead of relying on Controllers to assign trips reactively.
THE METHOD
NEW: Planning
Auto Planning
LOCATION
Group movements by zones to reduce unnecessary travel with empty vehicle.
URGENCY
Prioritise movements based on their delivery/collection window.
VEHICLE REQUIREMENT
Consider requirements such as trailer type and DG cargo restrictions.
DRIVER WORKLOAD
Distribute trips across drivers to support a more balanced workload.

PLAN ACROSS VEHICLE & TIME
Planners can drag and drop movements onto vehicles or use Auto Plan to generate a schedule based on operational constraints.
WHAT APPEARS FIRST?
Pending movements are prioritised by their earliest required window, helping Planners focus on the most time-sensitive work first.
Pending Movement Priority
WHAT APPEARS FIRST?
Pending movements are prioritised by their earliest required window, helping Planners focus on the most time-sensitive work first.
LOCATION
Groups movements by geographical zones to reduce unnecessary travel and empty vehicle movement.
URGENCY
Prioritises movements based on their delivery/collection window.
VEHICLE REQUIREMENT
Considers requirements such as vehicle type and DG cargo restrictions.
DRIVER WORKLOAD
Distributes trips across drivers to support a more balanced workload.
My Takeaways
This project taught me to look beyond individual screens and understand how the entire workflow connects. Despite the trial and error and changing requirements along the way, the experience helped me gain a deeper understanding of the logistics industry and the gap between industry standards and real-world operations.
I learned that meaningful improvements aren't just about adding more features, but rethinking how information, decisions and people work together to create a more effective workflow.
